Updating TrakIT By Email

If you do not have access to TrakIT, you can also update TrakIT by simply sending an email. There are several ways to do this:

1. Upload Documents by Email

Users can Upload Documents by email without even opening TrakIT. Attach a document or forward an existing email with attachments. Set the recipient as your designated TrakIT email address. Put the subject as: TrakIT Upload WOID/ContNum.
Example: TrakIT Upload ABCU1234567.
By default, the document is uploaded for the whole shipment. To upload it to a single work order only, use the 'Noshare' keyword in the subject line.
Example: TrakIT Upload 12345 Noshare
                **Please make sure you remove all images and icons that may be present in your email signature. Or else, these are treated and uploaded as attachments.The attachment should not                      exceed 4 MB in size. Users can attach as many documents as they want. The uploaded documents are accessible to all users who have access to the work order. Don’t upload                          documents that are sensitive in nature. Use the normal TrakIT upload function and set the document role as appropriate.

2. Upload Email Content

Users can archive an email conversation regarding a shipment or a work order. Just forward the last email to TrakIT i.e. set the recipient as trakit@damco.com (which is the designated TrakIT email address). Put the subject as: TrakIT Save WOID/ContNum. 
Example: TrakIT Save ABCU1234567.
By default the email content is shared for the whole shipment. If you wish to upload it to a single work order only, then use the 'Noshare' keyword in the subject line.
Example: TrakIT Save 12345 Noshare

**Email content is attached as a text file and should not exceed 8000 character. 

3. Update Events via Email

Users can update events in TrakIT by remote locations like ports or depots or while they are on the go using Email Updates. They don’t even need to access TrakIT for this. They can make updates by sending an email containing the full event name followed by ContNum/Manifest number on separate lines. Events are updated with the same date on which the email is received. The user will get a response within minutes with an update about which work orders have been updated and which are not.

**Users can upload documents/email content or update events only in those work orders to which they have access. Email id for sending these emails should be a registered email id in TrakIT and user profile should not be locked. Subject line is not case-sensitive.

4. Bulk Updates by Email

Users can create any number of work orders by simply populating an Excel template (a standard template called 'New Work Order Template' available on the TrakIT Home Page) and emailing it to TrakIT. This template has some basic fields that the users fill, like customer code, carrier code, T/D number, container type, shipment type etc. Once the Excel sheet is complete, it should be emailed to the designated TrakIT email address with TrakIT Create [Workflow code] as the subject (it is not case-sensitive).
Example: TrakIT Create KE-MBA (for Kenya-Mombasa)

**Users must use their registered TrakIT email accounts and ensure that they have the correct authority to create work orders. TrakIT processes the email and replies with a result (success/errors encountered along with rows). Currently, it's not possible to set the services for work orders in this template.
